Company Brain

Everything your team knows.
Kept up to date.

We build a company brain for your marketing team. An agent reads the work your team produces, keeps clear notes on your brand, customers, campaigns and decisions, and gives your AI tools the context to do useful work.

An illustrative record: current facts, their sources, what changed and what is still unknown. Names and figures are invented.

One memory for your marketing team, maintained in the background.

  1. Read the work
  2. Keep the records
  3. Ask about the gaps
  4. Give your tools context

Your AI tools are only as good as what they know.

The brief says the launch is on the 3rd. A call last week cut the budget. A Slack thread says legal has not approved the headline claim. Your team holds all of that in their heads. Your AI tools see none of it, so every prompt starts from scratch and every draft needs correcting.

A company brain does the gathering for you. It turns your team’s everyday work into a small set of records that stay current, show their sources and say plainly what they do not know.

01 · Bring in the work

Start where your team already works.

Decisions happen in Slack threads, on calls, in briefs and in your CRM. We connect the sources you choose, and the agent picks up changes as they happen. Each fact keeps a link to where it came from and who is allowed to see it.

  • ConversationsSlack or Teams channels you choose.
  • MeetingsCall notes and transcripts from your note taker.
  • DocumentsBriefs, plans and guidelines in your shared drive.
  • CRMAccounts, deals and lifecycle stages.
  • Ads and analyticsCampaigns, spend and results.
  • ProjectsTasks, owners and due dates.

Nothing is connected without your sign-off. We agree the list of sources with you first.

02 · Keep the records

Six records every marketing team needs.

Most of what a marketing team needs to remember fits into six records. The agent keeps each one up to date, and every line points back to its source, so anyone can check where a fact came from.

01Company
What you sell, how you sound, who decides what.
02Audience
Who you sell to, the words they use and what they care about.
03Offerings
Products, prices, approved claims and what not to say.
04Competitors
Who you are up against and how they position themselves.
05Strategy & KPIs
Goals, targets and the definitions behind each number.
06Execution
Live campaigns, owners, dates, budgets and decisions.

03 · Keep it current

Keep the history. Show what changed.

When the budget changes on a call, the record shows the new figure and moves the old one into its history with the date. An old plan uploaded today keeps its original date, so it cannot overwrite a newer decision.

The brain also knows a correction from a change. “That date was wrong” fixes a mistake. “The launch moved” records something that really happened. Both stay in the history.

04 · Ask about the gaps

When it is not sure, it asks.

If two sources disagree, or an answer is missing, the agent does not guess. It sends the question to the person who owns the answer, one question at a time, in the place they already work. Until someone answers, the record says it does not know.

When someone corrects a record, the agent notes why, so it does not make the same mistake again.

05 · Illustrative walkthrough

Follow one campaign through the brain.

One invented campaign, from three scattered messages to a ready-to-review next step. Apply the update at the end to see the record and the next action change.

  1. 01

    Collect

A brief, a set of call notes and a Slack message arrive from the connected sources.

Campaign brief [01]“The spring range launches on 3 March. Lead claim: up to 40% lighter.”

Kick-off call notes [02]“Sam owns the launch. Paid budget is now $18,000.”

Slack, #marketing [03]“Legal still needs to approve the 40% claim.”

Slack, #legal [04]“40% claim approved, with the footnote ‘compared with our 2025 range’.”

  2. 02

    Extract

Each message is split into single facts, and each fact keeps its source.

    Launch date
    3 March [01]
    Lead claim
    Up to 40% lighter [01]
    Owner
    Sam [02]
    Paid budget
    $18,000 [02]
    Claim approval
    Pending [03]Approved, footnote required [04]
  3. 03

    Connect

“Sam” in the call notes is matched to the right person, using the rest of the company’s records.

  4. 04

    Keep

The campaign record brings the owner, date, budget and claim together. Earlier versions stay in its history.

    Budget
    $18,000
    Claim
Waiting for legal [03]Approved with footnote [04]

The plan is recorded. The claim cannot run yet.The claim can run from 3 March if the footnote is shown.

  5. 05

    Answer

An agent opens the campaign record, follows the links and reads the sources before it answers.

“What needs to happen before the ads go live?”

Legal has not approved the 40% claim. Sam needs sign-off before the 3 March launch.Nothing is blocking the claim. Every ad that uses it must show the footnote.

    Sources: [01] [02][03][04]

  6. 06

    Act

The agent drafts the next step for the right person. A person reviews it before it goes anywhere.

DraftTo: Sam OkaforTo: the paid team

Could you get legal sign-off on “up to 40% lighter” before the 3 March launch?Legal has approved “up to 40% lighter”. Please add “compared with our 2025 range” to every ad that uses it.

    Ready for human review

When legal approves the claim [04], the record changes to “approved with footnote” and the next draft goes to the paid team instead of Sam.

An invented campaign. The people, figures and messages are illustrative.

06 · Give your tools context

One set of notes for every tool.

The brain is a folder of plain text notes. Your team can open it in Obsidian or any editor. ChatGPT, Claude and your own agents can read it too, either straight from the files or through MCP, the standard way AI assistants connect to outside tools.

That means your paid media agent, your reporting and your content workflows all start from the same, current picture of your business.

07 · Use it for content and SEO

Content that knows your brand.

Briefs and first drafts start from the brain: your approved claims, the words your audience uses, how competitors position themselves and what you have already published. Search research goes in alongside, so each piece has a reason to exist.

Research → brief → draft → fact and brand checks → approval → learning.

Editors still own the claims, the tone and the decision to publish. What they learn goes back into the brain for next time.

08 · Fit your company

Yours to keep.

Your brain runs on a machine set up for your company, with its own agent and its own accounts. Your raw material stays there. Your team can open the same notes the agent works from, and if we stop working together, you keep them.

We start with one job that needs reliable context, such as a weekly report, a campaign handover or onboarding a new hire. We test whether the agent finds the right person, gives the latest decision and shows its evidence, then grow from there.

Is it right for you?

A good fit if you…

  • Have a marketing team of two or more people using AI tools
  • Lose time re-explaining your brand, offers or plans
  • Keep decisions spread across Slack, calls and documents
  • Can connect the tools where your team works

Not the right fit if you…

  • Want a search box over your shared drive and nothing more
  • Have no one to answer the brain’s questions
  • Cannot give access to the places decisions are made

Common questions

What is a company brain?

A maintained set of notes about your business: your brand, audience, offerings, competitors, goals and live work. An agent keeps it current from the tools your team already uses, and your people and AI tools read from it.

Does it replace our drive, CRM or project tool?

No. Those stay where they are. The brain reads from them and keeps the important parts in one place, with a link back to where each fact came from.

Who can see what?

Each source keeps its access rules. Before we connect anything, we agree with you which sources are shared with the whole team and which stay private.

Does everything it reads become fact?

No. New information is checked against what the brain already knows. Conflicts stay visible and become questions for the person who owns the answer.

How do we know it works?

We test it with real questions you already know the answers to, including plans that changed and sources that disagree. You check the answer and the evidence behind it.

What happens if we stop working together?

You keep the notes. They are plain text files, so you can open them in any editor and keep using them.
